Management Services
The Ross Management Group uses Yardi Voyager, a leading property management accounting software solution. Rents
are recorded online at the property's office and stored in The Ross Management Group's central database. The
property staff can generate notices, letters, reports, etc., as needed, with all actions recorded in the central
database.
Our Services include:
ACCOUNTING SERVICES:
- ANNUAL BUDGET PREPARATION:
We will prepare an operating budget and submit it to the General Partner for modification and/or approval at
least sixty (60) days prior to the start of each fiscal year.
- BILL PAYMENT:
We will review and pay all of the property's operating expenses. Agent will be sole signer on all bank
accounts.
- BONDING:
A Fidelity Bond shall bond all employees and building management personnel who handle property monies. Agent
will establish and maintain F.D.I.C. insured bank accounts for the property.
- PAYROLL:
We will handle the payroll and all pertinent documents related to workers compensation and tax returns for
on-site employees of the property.
- TAX RETURNS:
We will cooperate with the General Partner's accountant to insure the filing of all appropriate tax returns.
- MONTHLY FINANCIAL PACKAGE:
We will prepare a customized monthly-computerized financial package for the General Partner. This will include
a detailed budget report, a month-end and year-to-date budget variance report, a monthly balance sheet and a
statement of revenue and expenses.
- YEAR-END FINANCIAL REPORT:
We will prepare a summary of all receipts and expenditures for the year and facilitate required audits.
ADMINISTRATIVE SERVICES:
- RECORDS/FILES MAINTENANCE:
We will keep all records and files relating to the property on file in the property management office or in
storage at the property.
- CONTRACTS:
We will negotiate all contracts and agreements on behalf of the General Partner.
- INVENTORY:
We will take an annual inventory of all tools, supplies and equipment belonging to the property.
- PERSONNEL:
We will supervise and train resident managers and other on-site personnel of the property. Agent will hire and
discharge on-site personnel.
- INSURANCE:
We will maintain insurance records and process claims.
- SPECIFICATION/BID PREPARATION:
We will write all specifications, receive bids and make recommendations to the General Partner for contracted
work.
- MUNICIPALITY LIAISON:
We will comply promptly with Federal, State, County or Municipal government regulations and act as liaison
between the General Partner and local governments.
- LEGAL LIAISON:
We will confer with legal counsel on legal matters as directed by the General Partner.
- PLANNING:
We will assist and advise the General Partner in planning long-term maintenance and improvement programs.
MAINTENANCE SERVICES:
- PROPERTY VISITS:
The Property Manager will conduct a walk-through and physical inspection of the property and grounds on a
consistent basis for in-town properties and no less than quarterly for out-of-state properties.
- OUTSIDE CONTRACTORS:
Agent will supervise all work performed by contractors for quality, timeliness and value.
