The Ross Management Group has extensive past and present experience in managing mixed-income and mixed-use developments at market rate levels. These developments are of various sizes and use. We have vast experience in managing Section 8 properties, tax credit properties, market rate properties, retail, commercial and special needs populations, and combinations thereof.

Accounting Services

Our expert property management team uses Yardi Voyager, a leading property management accounting software solution.

Annual Budget Preparation:
Preparation of an operating budget and submit it on behalf of the Partnership for modification and/or approval at least sixty (60) days prior to the start of each fiscal year.

Bill Payment:
We review and pay all of the property’s operating expenses.

Bonding:
A Fidelity Bond shall bond all employees and building management personnel who handle property funds. Agent will establish and maintain F.D.I.C. insured bank accounts for the property.

Payroll:
Handling of the payroll and all pertinent documents related to workers compensation and tax returns for on-site employees of the property.

Tax Returns:
Work on behalf of the Partnership’s accountant to insure the filing of all appropriate tax returns.

Monthly Financial Package:
Preparation of a customized monthly-computerized financial package on behalf of the Partnership. This will include a detailed budget report, a month-end and year-to-date budget variance report, a monthly balance sheet and a statement of revenue and expenses.

Year-End Financial Report:
Preparation of a summary of all receipts and expenditures for the year and facilitate required audits

Administrative Services

Records/Files Maintenance:
Safekeeping of all records and files relating to the property in the property management office or in storage at the property.

Contracts:
Negotiation of all contracts and agreements on behalf of the Partnership.

Inventory Management:
Annual inventory of all tools, supplies and equipment belonging to the property.

Personnel Management:
Supervision of and training for resident managers and other on-site personnel of the property. Agent will hire and discharge on-site personnel.

Insurance Management:
Obtain annual insurance bids and policies, maintain insurance records and process claims.

Specification/Bid Preparation
Write all specifications, receive bids and make recommendations on behalf of the Partnership for contracted work.

Municipality Liaison:
Prompt compliance with Federal, State, County or Municipal government regulations as we act as liaison between the Partnership and local governments.

Legal Liaison:
Conferring with legal counsel on legal matters on behalf of the Partnership.

Planning:
Assistance and advice on behalf of the Partnership in planning long-term maintenance and improvement programs.

Maintenance Services

Property Visits:
The Property Manager will conduct a walk-through and physical inspection of the property and grounds on a consistent basis for in-town properties and no less than quarterly for out-of-state properties.

Outside Contractors:
Ross will supervise all work performed by contractors for quality, timeliness and value.
